This Privacy Policy explains how COOLSAPIENS, trade name of LABROT Robin, entrepreneur individuel registered in France under SIREN 882 596 414 / SIRET 882 596 414 00012, with registered address at 49 Avenue Alfred de Musset, 78110 Le Vesinet, France ("TalkToHumans", "we", "us", or "our") collects, uses, shares, and protects personal data.
TalkToHumans provides a LinkedIn workspace, Chrome extension, API, MCP server, and related services for managing LinkedIn conversations, contacts, tags, notes, saved views, templates, scheduled follow-ups, sequences, enrichment, and AI drafting (the "Services").
This Privacy Policy applies to our websites, applications, extension, APIs, support, and other interactions with us. It should be read together with our Terms of Service. If your organization has signed a data processing addendum with TalkToHumans, that addendum governs our processing of Customer Personal Data as a processor.
1. Roles
For account administration, billing, website analytics, security monitoring, product analytics, marketing, and direct communications with you, TalkToHumans generally acts as an independent controller.
For personal data that a customer submits to, stores in, or otherwise makes available through the Services for TalkToHumans to process on the customer's behalf ("Customer Personal Data"), TalkToHumans generally acts as a processor and the customer acts as controller. In that case, the customer is responsible for providing required notices, establishing a lawful basis, and responding to data subject requests relating to Customer Personal Data.
2. Personal Data We Collect
We collect personal data directly from you, from your organization, through your use of the Services, from third-party services you or your organization choose to use with the Services, and from service providers.
Account and User Data
We may collect names, email addresses, profile photos, organization names, roles, permissions, invitations, authentication identifiers, workspace membership, account settings, and similar account information.
LinkedIn and Workspace Data
When you or your organization connect or use LinkedIn-related workflows with the Services, we may process LinkedIn account identifiers, profile URLs, public LinkedIn identifiers, profile and company information, contacts, conversation identifiers, participant identifiers, message bodies, message attachments, conversation history, drafts, sent messages, scheduled messages, templates, notes, tags, saved views, custom fields, sequence steps, reply metadata, quota status, safety policy state, and related workflow data.
LinkedIn message bodies, message attachments, and related conversation data are synced to and stored in TalkToHumans backend systems by default as part of the core Services. Core product features such as shared workspace views, search, labels, notes, scheduled follow-ups, reply-aware cancellation, sequences, API access, and MCP access depend on server-side message sync. User browsers or devices may also store local copies or caches depending on browser settings, extension behavior, and device configuration.
Extension and Device Data
We may collect browser, device, log, diagnostic, extension status, session status, sync status, error, quota, safety, and security event data. The Chrome extension may process data from a user's logged-in browser session to perform customer-directed LinkedIn actions and synchronize workspace data.
API and MCP Data
If you use API or MCP features, we may process API keys, access tokens, OAuth authorization metadata, tool request metadata, logs, and Customer-authorized workspace data returned through API or MCP tools.
AI and Enrichment Data
If you use AI drafting, enrichment, email finding, or phone finding features, we may process prompts, selected variables, draft text, LinkedIn profile identifiers, company identifiers, conversation/profile context selected for the requested feature, enrichment results, work emails, phone numbers, usage status, and credit or reservation metadata.
TalkToHumans does not use Customer Personal Data or Customer Content to train general-purpose AI models unless the customer expressly authorizes that use in writing.
Billing and Commercial Data
We may collect plan, seat, subscription, invoice, payment method metadata, billing contact, credit grant, credit usage, usage reservation, and transaction data. Full payment card details are handled by Stripe and are not stored by TalkToHumans.
Support and Communications Data
We may collect support messages, troubleshooting information, call notes, emails, chat messages, feedback, form submissions, and other communications you send to us.
Website, Analytics, and Marketing Data
We may collect IP address, browser type, device information, referring pages, pages viewed, product usage events, campaign attribution, cookie identifiers, and similar analytics or marketing data.
3. How We Use Personal Data
We use personal data to:
- provide, operate, maintain, and secure the Services;
- authenticate users and manage organizations, workspaces, memberships, roles, and invitations;
- connect customer-selected LinkedIn accounts through the Chrome extension;
- sync, store, search, organize, and display LinkedIn conversations, contacts, companies, messages, notes, tags, templates, saved views, and workflow state;
- execute customer-directed actions through a user's logged-in browser session;
- schedule and run customer-configured follow-ups and sequences;
- provide API and MCP access authorized by the customer;
- provide optional AI drafting, enrichment, email finding, and phone finding features when invoked;
- process payments, subscriptions, invoices, credits, and usage;
- provide support, troubleshooting, and customer communications;
- monitor safety, security, abuse, and service integrity;
- understand product usage and improve the Services;
- send administrative, product, and marketing communications;
- comply with law and enforce our agreements; and
- protect our rights, users, customers, and others.
4. Legal Bases
Where GDPR, UK GDPR, Swiss data protection law, or similar laws apply, our legal bases may include:
- performance of a contract, including providing the Services and account administration;
- legitimate interests, including security, fraud prevention, service improvement, analytics, support, and business communications;
- consent, where required for optional marketing, cookies, testimonials, or other processing;
- compliance with legal obligations; and
- processing on behalf of a customer under that customer's instructions.
5. How We Share Personal Data
We may share personal data with:
- service providers and subprocessors that help provide hosting, database, storage, authentication, billing, analytics, logging, AI, enrichment, email, support, and security services;
- third-party services you or your organization choose to use with the Services;
- payment processors, including Stripe;
- professional advisors, including lawyers, accountants, auditors, and insurers;
- authorities, regulators, courts, or others where required by law or necessary to protect rights, safety, or security;
- parties involved in a merger, acquisition, financing, reorganization, or sale of assets; and
- others with your or your organization's consent.
TalkToHumans does not sell Customer Content.
6. Subprocessors and Third-Party Platforms
Our Services use infrastructure and service providers such as AWS, Vercel, WorkOS, Stripe, Better Stack, Segment, Mixpanel, OpenRouter, Harvest API, FullEnrich, and similar providers as configured from time to time.
LinkedIn is an independent third-party platform used by customers and users. LinkedIn is not a subprocessor of TalkToHumans. Customers are responsible for their own relationship with LinkedIn and for compliance with LinkedIn's applicable terms and policies.
Some optional features may transmit personal data to third-party AI or enrichment providers when the customer or user invokes those features.
7. International Transfers
TalkToHumans is established in France, and our service providers may process personal data in other countries. Where required, we use appropriate transfer mechanisms such as adequacy decisions, standard contractual clauses, the UK International Data Transfer Addendum, recognized adequacy frameworks, or other lawful transfer mechanisms.
We do not rely on the invalidated EU-U.S. Privacy Shield as a transfer mechanism.
8. Retention
We retain personal data for as long as reasonably necessary to provide the Services, maintain accounts, comply with legal obligations, resolve disputes, enforce agreements, protect security, and maintain business records.
For Customer Personal Data processed under a data processing addendum, deletion and return commitments are governed by that addendum. Unless otherwise agreed, TalkToHumans deletes Customer Personal Data from active production systems within 30 days after termination or written deletion request, and deletes backup copies according to normal backup expiration cycles.
Billing, tax, security, audit, legal, and dispute records may be retained longer where required or permitted by law. Browser-local data is controlled by the user's browser or device and may need to be deleted locally by the user or through device management.
9. Security
We use reasonable technical and organizational measures designed to protect personal data against unauthorized access, loss, misuse, alteration, and disclosure. Measures may include access controls, tenant scoping, HTTPS/TLS in production, private backend infrastructure paths, secrets management, logging and monitoring, security reviews, least-privilege access practices, and incident response processes.
No system is perfectly secure. Customers and users are responsible for securing their own devices, browsers, accounts, credentials, LinkedIn sessions, and workspace access.
10. Your Choices and Rights
Depending on your location and the context of processing, you may have rights to access, correct, delete, restrict, object to, or receive a copy of your personal data, and to withdraw consent where processing is based on consent.
If your request concerns Customer Personal Data in a TalkToHumans workspace controlled by your organization, we may direct you to that organization or handle the request according to the organization's instructions.
You may opt out of marketing emails by using the unsubscribe link in the message or by contacting us. You may control cookies through your browser settings and any cookie controls we make available.

11. California and U.S. State Privacy Notices
Depending on applicable law, U.S. residents may have rights to know, access, correct, delete, obtain a copy of, or opt out of certain processing of personal information.
We do not sell personal information for money. We may use analytics or marketing tools on our website that could be considered targeted advertising or sharing under some U.S. state privacy laws. Where required, we will provide available opt-out mechanisms.
The categories of personal information we may collect are described in Section 2. The purposes are described in Section 3. The categories of third parties to whom we may disclose personal information are described in Section 5.
12. Children's Privacy
The Services are not intended for anyone under 16. We do not knowingly collect personal data from children under 16.
13. Cookies and Similar Technologies
We and our service providers may use cookies, pixels, local storage, and similar technologies to operate our websites and Services, remember preferences, authenticate users, improve performance, analyze usage, measure campaigns, and support marketing.
You can control cookies through browser settings. If you block necessary cookies, some Services may not work correctly.
14. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will provide notice by posting the updated policy, emailing you, or notifying you in the Services.
